i.MAS notifications: what EDS, i.SAF, i.VAZ and other letters from the tax authority mean
A short reference for accountants: which notifications i.MAS and the tax authority’s EDS send, what each means and how quickly you need to respond.
i.MAS (the Smart Tax Administration System) is a set of tax-authority subsystems through which companies submit data on invoices, consignment notes and accounting. Together with the Electronic Declaration System (EDS) and "My VMI" it generates a lot of automatic notifications. Here is what each of them means.
The main i.MAS subsystems
- i.SAF – registers of received and issued invoices. VAT payers file by the 20th of the following month.
- i.SAF-T – the standard accounting data file (SAF-T), submitted on the tax authority's request.
- i.VAZ – consignment note (goods transport document) data. Submitted in advance, before transport begins.
- i.APS / i.EAA – accounting subsystems for small business.
Which notifications arrive by email and what they mean
- Return or report reminder – the filing deadline is approaching. Action: file by the date given.
- Notice of a missing return – the deadline has passed, the document was not received. Action: file immediately.
- Submission confirmation – the document was accepted. Action: keep it as evidence.
- Error / rejection notice – discrepancies were found or the document was rejected. Action: fix and resubmit.
- Query or request to clarify – the tax authority asks for an explanation. Action: reply within the stated period, usually a few working days.
- Notice of control actions or an audit – top priority, respond the same day.
Why this becomes a problem in an accounting firm
When one mailbox receives notifications for dozens of companies, the letters blur together: some are purely informational, some require action within 3–5 days. Sorting them by hand takes time, and an important query can go unnoticed.
