A VMI query: how long you have to reply and how not to lose it among clients

Always read the deadline in the query itself – often a few working days. How to tell it apart from a routine confirmation and why a shared inbox is risky here.

Reply to a VMI query by the deadline written in the letter or in the Mano VMI document itself – usually a few working days. There is no single “10 days for every query” rule. A notice of control actions or an audit follows the same idea, only with higher priority: start the same day.

A query is not a routine filing confirmation and not an FR0600 reminder for the 25th. If there is no reply in time, VMI may decide from the data it has, impose a fine or ask for a correction. Other letter types are in the i.MAS reference.

How to recognise it

  • The subject or body says “query”, “please provide an explanation”, “request to clarify”, “arrears”, “control”.
  • A Mano VMI document with a reply date, not only “document accepted”.
  • Sometimes an attachment (a list of transactions, i.SAF lines) that needs a comment.

What to do the same day

  1. Read the deadline and write down a specific date, not “this week”.
  2. Identify the company – whose document it is. Do not start drafting before that.
  3. Collect the invoices, registers and contracts VMI is asking for. If you need data from the client, ask the same day, not the day before the deadline.
  4. File the reply through the channel VMI names (usually Mano VMI) and keep the submission confirmation.

Why it disappears in an accounting firm

In a day the inbox gets dozens of “document accepted”. A query looks similar: the same sender, similar template wording. In a shared inbox it sinks under successful filings. A colleague covering at the end of the week will not see it.

This is the same break as in tracking dozens of clients: you need not “there is mail” but “this company has a query, deadline Thursday”.

Link to FR0600 and i.SAF

Some queries come from an FR0600 vs i.SAF mismatch. If “accepted with deficiencies” was already there and not fixed, the next letter is often a query. Then you have both the 10 days for deficiencies and the query date – take the earlier one.

Žymeklis recognises VMI emails and puts them on the client. A query does not stay as one more row in a shared inbox: you see which company it belongs to and that it is not a routine confirmation, while there is still time.
