How to forward VMI and i.MAS notifications to your accountant
Where to set the notification email in Mano VMI, how to confirm the address, what to set in i.MAS, and how to do this for every client in an accounting firm.
VMI sends the “new document in Mano VMI” email to the representative’s confirmed address. For the accountant to see clients’ mail, that address must be theirs (or a unique address per company), not only a director’s personal inbox that nobody checks.
The document itself always stays in Mano VMI. The email is only a signal that something needs to be opened, filed or answered. If the signal goes to the wrong place, the deadline is missed quietly.
Where to set the email in Mano VMI
- The client’s manager or an authorised representative signs in to Mano VMI.
- When registering or changing a representative, an email is given – VMI sends a confirmation link. Without confirmation, notifications are not sent.
- Under Home → Notification settings you can turn on attaching the document itself to the email (“Sending documents by email”).

Authorising the accountant
In Mano VMI the manager can grant the accountant rights under Authorisations → New Mano VMI representative. Without that, the accountant will not see the documents even if the emails land in their inbox.
A Centre of Registers authorisation (for the annual statements) is a separate matter. We cover it in “Centre of Registers authorisations for accountants”.
i.MAS has its own settings
Notifications from i.SAF, i.VAZ and the other subsystems are set in i.MAS, not only in Mano VMI. Use the same working address there, or invoice-register reminders and rejections will go elsewhere. What the individual letters mean is in the i.MAS notification reference.
What to do in an accounting firm
- A single office inbox
info@…quickly becomes a pile where it is unclear which company the email belongs to. - Give each client their own notification address. Then the email already belongs to a specific company when it arrives.
- When you take on a new client, change the Mano VMI and i.MAS email together with the authorisations. It is as necessary as EDS access.
The most common mistakes
- The email is entered but not confirmed – nothing is sent.
- The accountant changed, the Mano VMI address did not.
- Mano VMI was updated, i.MAS was not (or the other way around).
- Emails go to the director, who forwards them “when they remember”.
Žymeklis gives each company a unique email address. In the inbox where you already receive institution emails, set up forwarding to that address – incoming mail is recognised and appears in the table next to that client.
